The Events Coordinator is a key member of the operations team, responsible for the successful support and execution of signature events, programs, and committees. This role requires strong organizational skills, proactive problem-solving, and the ability to collaborate effectively with TAI team, members, and third-party vendors. Key Responsibilities
Signature Event & Program Support
- Support the planning and execution of TAI events and programs

- Be a liaison with vendors through F&B selections, AV, space allocation, site materials, etc
- Manage the registration process and day-of logistics including setup, name badges, and check-in
- Partner with the communications team to execute event/program communications
- Liaison with speakers, award recipients, and other participants
- Maintain Alumni Network renewals and onboarding processes, ensuring accurate records and timely communication
- Responsible for event/program setup and teardown

- Welcome attendees, providing direction as necessary and answering questions
- Manage check-in, preparing, and assisting attendees with name badges
- Set up TAI banners, name tents, AV and other displays
- Maintain accurate records of attendee names and companies for event data management and post-event follow-up
- Gather and return all TAI materials post-event, ensuring the venue is left clean and orderly

- Contribute to the overall success of events/programs by proactively addressing general needs and anticipating challenges
Committees and Roundtables Coordination

- Act as the primary liaison for committees and roundtables
- Schedule committee and roundtable meetings, coordinating with chairs and participants
- Manage logistics, including video conferencing and/or venue booking, F&B, and agenda development
- Maintain meeting minutes and distribute them to relevant stakeholders
Key Qualifications
- Proven ability to create positive experiences with a proactive, customer-first mindset
- Strong organizational skills and attention to detail with the ability to manage multiple projects simultaneously
- Ability to work independently while maintaining effective collaboration within a small team setting
- Demonstrated experience in event management, with at least one year of relevant experience preferred
- Self-starter with a strong drive for the continuous evolution of event and program experiences
- Flexibility to adapt to changing priorities and proactively anticipate needs
- Demonstrated ability to think on your feet, troubleshoot effectively, and anticipate challenges to ensure seamless event execution
- Effective verbal and written communication skills
- Proficiency in Google Workspace (Docs, Sheets, Slides, etc.); CRM experience is a plus

Work Environment

- This role is in-person at the TAI office in Des Moines, Iowa
- Occasional physical requirements included in event setup and teardown
- Requires availability to work some early mornings and evenings during event periods
- Occasional statewide travel required for onsite event support
